Preparation (Examiner)
As a rule, teachers and students can access the examination courses by logging in with their university account (SSO, UA-Ruhr). External accounts as well as test accounts can be requested by teachers in the service portal.
Prüfungsmoodle was set up as an empty system and therefore does not yet have any users in the system. In order for teachers and students to be created in the Prüfungsmoodle user database, they must log in there once with their SSO-/UA-RuhrAccount. Only then can they be added to courses manually or linked by name through BOSS synchronization.
You register examinations with Prüfungsmoodle according to the regulations of your faculty/study regulations, mostly in the examination administration, in BOSS etc.
In addition, you report examinations using Prüfungsmoodle to the ITMC so that we can guarantee the security of the examination on the day of the examination. The registration is usually done via the registration form for digital exams. Digital exams in the e-exam room are registered via room-booking system.
Instructors do not create new courses themselves:
- BOSS-synchronized exam courses create themselves automatically when you report them to the Examination Office as an Prüfungsmoodle exam. You will then find the courses promptly in Prüfungsmoodle.
- Manual courses are created for you by the ITMC if you select in the registration form for digital exams or room booking system that the exam is not BOSS synchronized, This signals us that you need a course. We will create the course in a timely manner and get back to you.
Students enter exam courses via three possible routes:
- Either you are automatically entered (and exited) into the courses via BOSS. (Role automatic: BOSS-Participant)
- or you add the participants manually (role: Participant)
- or you perform a group enrollment via .csv list (role: Participant). A template for this can be found in the sample course
For all enrollment methods, the prerequisite of a one-time SSO enrollment in the examination system applies.
Yes, you can! BOSS students are entered into the courses with the role "BOSS Participant". You can add additional manual participants to the courses at any time by selecting the "Participant" role for these participants.
As an Examiner in the course, you can add other instructors to the course with the role of Examiner.
First check if you have set the course visible (show). Forums and mails only work in visible courses. Also, check the participants list for completeness. This gives an indication of which participants you can expect as subscribers in the forum. In the next step in the forum, under Subscription, also check whether the subscription has been made mandatory. If you have made it optional, check the subscriber list to see whether the participants have unsubscribed.
Implementation (Examiner)
To allow you to work on your exam courses in peace, they are always created "hidden". In order for students to access the courses, you must set them to "Show" in the course settings.
Also, students should not filter your course outline, but rather have all courses shown on the home page.
In principle, the performance of the now independent examination system has of course improved significantly.
For large examination cohorts >500 students, it is nevertheless recommended to divide the students into groups and to start the examinations with a time delay of approx. 5-10 minutes in each case in order to relieve the system.
You can go to Assessments/Affidavit/Select/User Check Off/Delete Selected Attempts to allow the affected student another attempt to submit the sworn affidavit.
- You can assign a password for the exam activity under Settings/Additional access restrictions, which you announce at exam time in e.g. Zoom.
- You can deactivate logged out examinees in the list of participants under Participant settings/gear/status inactive. Inactive participants do not have access to the exam course.
You can make the course invisible (hidden) in the learning management system at exam time.
Follow-up (Examiner)
In the course, select the Assessments tab, select the activity, and then select Archiving from the drop-down menu. An overview of all individual assessment deliverables will appear. On the page, select right-click/print to PDF (Chrome browser in this case) to download the individual assessment deliverables as a PDF. This workaround does not work for large groups!
