EvaExam Scan FAQ
Please contact service.itmc@tu-dortmund.de for new accesses or if you have lost your access data.
If you need additional accesses, you can also include this information in the registration form for scan exams.
It is best to use only the combined question and answer sheet.
Yes, for this purpose an extra editor is integrated in EvaExam, which removes invisible controls from Word for you.
On the basis of the order form for the printing service of the Central Duplicating Department you define the parameters for printing: double-sided and stapled. You need WBS element of your faculty / department for the print job. You can also have single-sided printing to provide the reverse side to students for their own note taking.
If possible, do not use designs (such as separator lines, breaks, etc.) on the check sheet, especially when generating variants!
If you have chosen to print on one side, students can make their own notes on the back of the exam sheets. ATTENTION: Written notes on the reverse side cannot be recognized by the scan. Only notes made in free text fields on the exam sheet can be read and recognized by the scanner. Notes outside the free text fields are recognized as non-forms and cannot be evaluated.
If students check answer option a) incorrectly and want to correct the answer, you can simply correct the box for a) and check b).
However, if a) was checked, a different decision was made and the check was corrected, but in the end a) is to be selected again, the final correction may be made to the right of the checkbox, as this area will be provided graphically in the verification.
After the exam has been scanned, EvaExam shows isolated questions where the checked answer was not clearly identified during the scan. These uncertainly identified answers have to be confirmed manually.
In the correction field the selection of the scanner can be changed. If the "invalid" checkmark is activated, the question is considered as not answered.
After verification, all results of the batch are transferred to the examiner account. The status of the check changes from "Verification" to "Evaluated". The evaluation, i.e. the exam results, can then be called up in the account with which the exam was created.
Basically, verifiers can verify the scan in their own account. For support, additional verifier accesses can be set up to manually verify answers detected as unsafe in the scan. In order for the verifier accounts to have access to the verification, the checkbox for support must be set in the verifier profile, at least for the period of verification.
Verifier accesses do not have access to the overall results of the exam. Only after verification do the results of the scan appear in the account where the scan was created. Please contact service.itmc@tu-dortmund.de for your own verifier accounts.
False readings in the table indicates the number of answer boxes not found, e.g. if a participant has marked an answer option outside an answer field. This should be able to be corrected by the verification.
If you have accidentally deleted a complete batch, contact service.itmc@tu-dortmund.de. The ITMC will contact the scanning center. The title, date, and scan date of the exam will be needed. This will allow the exam to be restored.
When you have taken the exams to the scanning center and they have been scanned, you will initially see 0 captured exam sheets in your exam summary. When you run and complete the verification, the entire exam should show as captured.
Non-forms are pages that were identified during the scan as not belonging to the exam. Non-forms can be, for example, blank pages or the backs of examination forms on which students have made their own notes. The non-forms cannot be assigned to a test sheet or a test taker. However, you can display the non-forms by clicking on the sheet icon. Finally, you must delete the non-forms to complete the verification.
In the case of overwritten barcodes you can manually transfer the exam to a paper exam sheet that is left over, i.e. blank. The manually transferred sheet must then also be brought again to the scanning station. For archiving, you must keep the original sheet and the transferred sheet, too.
You can solve this by marking a question group as a text element when you create it (this does not work retroactively, if in doubt just create a new question group, mark it as a text element and place it on top). ). EvaExam will then also set a hint for you that the first and last text element (introduction and farewell) will be excluded from the variant generation. In the text element you can then write notes and/or enter blanks until the first page is filled with them. Attention, this is only valid for scan exams! The blanks must be removed again in case of later use as an online questionnaire.
